Events Manager

JOB PURPOSE:

The Events Manager is responsible for all Allied Arts events; both direct fundraising events and indirect (stewardship) events. The Events Manager is critical to the success of established events and helps to develop new events in support of the Allied Arts mission including community events where Allied Arts may be named as the beneficiary (special dinners, runs, etc.). The Events Manager oversees the events committees - motivates and direct staff and community volunteers related to special events, leading these teams to insure successful events. The Events Manager plans and manages events event expenses and oversees fiscal management of event planning, treating these functions as a positive net revenue source.

DUTIES & RESPONSIBILITIES:

Current events include: OPUS (a formal biennial gala); Campaign related events, including Kickoff (annual event), Celebration (annual event) and Honorary Chair event (annual event); Golf Tournament (annual event), ARTini (annual event coordinated by Catalyst: young professionals group); Circle Club events (additional two events per year for donors $1,000 and up); Recruiting and social events for Catalyst (approximately 4 per year); assistance with board meetings; All community events where Allied Arts may be named as the beneficiary (special dinners, runs, etc.).

• Identify sponsorship needs and secure event sponsorships and in-kind contributions for all Allied Arts events

• Oversee the board events committee - motivate and provide information, history of events and direction for all volunteers related to special events

• Experience preparing requests for quotes and bids within budget

• Experience negotiating contracts with caterers, venues, florists, entertainment and suppliers.

• Oversee fiscal management of event planning and execution as well as companion marketing materials

• Lead and motivate community volunteers related to special events

• Create, distribute and secure event sponsorships and in-kind gifts for all Allied Arts events

• Must be able to learn and implement basic development strategies and tasks

• Manage Catalyst’s leadership including all board meetings, correspondence, recruiting, renewals and retention

QUALIFICATIONS:

• Minimum of two years successful event management

• Fundraising and development experience preferred

• Strong time management, organizational and multi-tasking skills

• Ability to work in a fast-paced environment with a focus on fundraising

• Possess strong communication skills both verbal and written. Strong proof-reading skills a plus.

• Ability to take initiative; must be self-motivated and able to work independently

• Creativity with special events, as well as knowledge of national and local trends

• Ability to work within a budget

• Basic technology and AV knowledge required

• Ability to work within deadlines

• Knowledge of Microsoft Office applications (Word, Excel, PowerPoint) as well as ability to

learn fundraising software

• Ability to work in and contribute to a strong team environment

• Bachelor’s Degree Required

WORKING CONDITIONS:

Working in a team focused environment with other professionals, employees must regularly be able to detect, perceive, identify, recognize, judge, inspect, estimate, observe, and assess items, information, and objects in an office setting. Teamwork and communications are critical to our success and employees are regularly required to communicate clearly, in various settings. Regular business hours are from 8:30 – 5:00 M-F, with occasional off-site events requiring additional time on nights, weekends and early mornings. PHYSICAL REQUIREMENTS:
